Responsibilities

Job Title:  Hospitality Assistant Manager

FLSA Status: Exempt

Department:  Hospitality

Position Summary:  

The Assistant Manager is responsible for overseeing the day-to-day operations of Hospitality Department as well camp arrivals and departures. The position is responsible for ensuring each employee is meeting the standards and expectations set forth in company and department policies; creating and maintaining a friendly and inviting atmosphere at IMG Academy for all Academy guests, staff and students.

 

Position Responsibilities

    • Act as manager of department in the absence of Manager.
    • Serve as primary point of contact for Hospitality
    • Monitor scheduling of personnel and staffing patterns
    • Create best practices for guest and customer interactions
    • Assist in staff development and training
    • Plan arrival and departure of guests, teams, campers, and academy students
    • Monitor and ensure all e-mails are appropriately responded
    • Prepare and execute planning for summer, holiday, and specialty camps
    • Work with housing to ensure rooms are assigned for summer, holiday, and specialty camps throughout the year
    • Coordinate with Team Training to prepare for Team arrivals/departures and any special requests that are received through Team Business
    • Coordinate communication flow between Hospitality department and other Academy operations. Manage daily communications with Campus Life, Campus Safety, Operations, Sales, Sport Advisors, Transportation, Food & Beverage, Accommodations, Program Managers, Maintenance, and the sports
    • Track information flow and ensure all employees are fully informed of campus activities and operations
    • Oversee the ID system and work with IT staff assigned to ID network
    • Cover desk shifts when hospitality staff is on vacation or additional help may be required
    • Manage Checklist completion for Fall & Spring semester academy check-in
    • Oversee student bank functions, Odyssey, and CBORD
    • Coordinate with sales team to ensure CRM is up to date with products, packages, departures, arrivals, and balances in regards to the customer
    • Work with CRM team to ensure products, packages, reports, views, etc. are up to date
    • Assist with Clubhouse functions
    • Other duties as assigned

Qualifications

Knowledge, Skills and Ability

  • Bachelor’s degree or equivalent work experience
  • Ability to analyze and act quickly under pressure
  • Customer service experience required
  • Detail oriented
  • Exude a professional appearance and manner
  • Ability to work in a fast paced environment
  • Excellent communication skills, both written and verbal
  • Proven leadership skills and qualities
  • Proficient in Microsoft Office
  • Proficient in Adobe Acrobat

 

Preferred Skills

  • Bilingual
  • Knowledge of IMG Academy
  • Experience working in boarding school, hotel, or sport facility

 

Physical Demands and Work Environment

  • Ability to lift, move, push and pull equipment or boxes in excess of 40lbs
  • Must be able to move around campus, which includes gym, turf, fields, etc.
  • Ability to work flexible hours to include nights, weekends, and holidays is required
  • Knowledge of IMG Academy
