    Responsibilities

    Job Title:                     Tennis Program Manager

    FLSA Status:                Exempt

    Department:              Tennis

    Position Summary:   Assists the Athletics Director & Tennis Director in managing the overall tennis program in accordance with the strategic goals of the organization

     

    Position Responsibilities

    Logistics/Operations

    • Works with the Sport Director to create, monitor and report on goals and objectives including program growth and student retention
    • Researches competitors and collaborates with other sports on campus to ensure implementation of best practices
    • Schedules competitions, tournaments and special events
    • Responsible for all planning of student-athlete and staff travel, and reporting of related expenses
    • Administers paperwork for FHSAA and other governing bodies
    • Responsible for communication, ordering, allocating and working with corporate sponsors on equipment and apparel
    • Liaison to pro & collegiate teams & athletes, tournament participants and other guests
    • Coordinates facility expansion and transitions
    • Anticipates and resolves needs for any off-campus facility use
    • Coordinates gameday/tournaments, including scheduling teams, fields/courts, officials, etc.

    Communication

    • Leads communication & info sharing with Marketing/Outreach and PR/Comms to ensure maximum exposure for program
    • Partners with Admissions, Advisors, Health Services, etc. to ensure that all student-athlete paperwork is in order
    • Liaison with Advancement office
    • Ensures consistent, timely and quality communication with student-athletes & their parents/guardians
    • Works with coaches, APD and Academics staff to maximize the total development of the student-athletes
    • Leads through positive communication and thorough knowledge of the Academy
    • Coordinates with Academics and tennis staff to ensure uniform academic performance standards, minimization of travel conflicts with important school dates, notification to school of significant upcoming trips and adherence to student-athlete absence policies
    • Provides support to advisors and coaches when working with prospective families, teams and groups

    Staffing/Payroll

    • Assists in maintaining accurate staffing levels for the department including recruiting, interviewing and hiring as appropriate
    • Actively manages part-time and seasonal staff
    • Responsible for staff scheduling and accurate recording of leave
    • Responsible for ordering supplies and ensuring that new hires are set up for success
    • Completes all necessary paperwork for visiting coaches and staff, including independent contract agreements and expense reports

    P&L

    • Ensures excellent program delivery while eliminating unnecessary costs
    • Assists in the development of the operational program budget and ensures adherence to the budget
    • Reviews and submits expense reports
    • Reviews all financial reports and communication with Accounting staff on all adjustments/corrections
    • Prepares reports on revenue streams and program utilization
    • Develops and oversees the budget and operating plan to support the Tennis program
    • Adheres to all campus/company policies, procedures and business ethic codes
    • Other duties as assigned

    Qualifications

    Knowledge, Skills and Ability 

    • Bachelor’s degree in Business, Education, Sports Management or related field
    • Strong business acumen
    • Strong organizational skills
    • Experience in sales, marketing, business development or event management
    • Experience with spreadsheets and financial accountability
    • Experience with Word, Excel & PowerPoint
    • Knowledge of tennis scheduling
    • Ability to drive and manage department to hit short- and long-term strategic goals
    • Ability and desire to build collaborative relationships internally and externally
    • Ability to manage and influence at all levels of the organization
    • Ability to manage and run events/tournaments

    Preferred Skills

    • Bilingual
    • Collegiate or professional playing, coaching or managing experience
    • Valid Florida Driver’s License
    • CPR Certification 

    Physical Demands and Work Environment

    • Ability to lift and move equipment or boxes in excess of 40 pounds
    • Ability to handle outdoor temperatures for a reasonable period of time
    • Ability to move around campus which includes courts, fields, etc.
    • Ability to work flexible hours to include nights, weekends and holidays
